Staying near University Square for GPeC Summit? You may be able to walk to the conference and reserve a car for the journeys that need one: the airport arrival, a retailer’s office visit or a speaker’s early reporting time. Planning transport for GPeC Summit 2026 in Bucharest starts with those appointments, rather than booking a vehicle for every movement.
The official GPeC Summit page lists the conference and expo for 13 October 2026 at the National Theatre Bucharest, in the Ion Caramitru Hall, at 2 Nicolae Bălcescu Boulevard. This guide focuses on that October event and the journeys an international visitor or company coordinator may need around it.
Keep the October summit separate from the November gala
The organiser also refers to an eCommerce Awards Gala on 23 November 2026. Some ticket options combine the two dates. That does not make the gala an evening continuation of the 13 October conference. Put each event into the travel calendar separately and check what the chosen ticket actually includes.
This is particularly important when an assistant books from a ticket confirmation forwarded without context. Confirm the attendee’s intended dates before purchasing flights or arranging return transport. A car booked for an assumed October gala would solve the wrong problem, even if the hotel and passenger details were otherwise correct.
Use the National Theatre location to simplify the day
The National Theatre is at University Square. If your accommodation is nearby, check the actual walking route, the entrance specified by GPeC and your luggage requirements. There is little value in arranging a vehicle for a short, comfortable walk solely because the trip is a business visit.
Guests staying farther away, travelling with presentation materials or continuing to appointments elsewhere may prefer a confirmed collection. For hotel guest transfers, provide the hotel’s full name and the entrance where the passenger will be ready. A hotel lobby and a conference entrance can be different pickup points even when both appear under one property name.
Agree a pickup point that the vehicle can use
Do not use “outside the theatre” as the entire return instruction. The chauffeur needs a practical meeting point, and the passenger needs to know how to find it. Share the contact details before the final session and follow any event-day access instructions. A map pin helps, but it does not guarantee that stopping is permitted at that exact position.

Protect the first commitment after your OTP arrival
A visitor landing the evening before can normally separate the airport journey from the next morning’s programme. A visitor arriving on 13 October needs to decide whether the first destination is the hotel, the theatre or an office. Include that decision when requesting an airport transfer from OTP.
Flight arrival is only the start of the landside schedule. Allow for airport formalities, luggage and the drive before accepting a meeting. If the plan goes directly to the theatre, confirm storage with the venue or hotel; do not assume that conference registration includes suitcase storage or that the transfer vehicle will remain on standby.
For a company welcoming several guests, keep separate flight records even when the passengers share a hotel. Combining arrivals works only when the terminal-exit windows and luggage fit the same vehicle. Otherwise, a long wait can erase the benefit of a direct airport pickup.
Turn networking appointments into a realistic route
GPeC provides networking opportunities alongside the conference and expo. Before requesting transport, distinguish meetings that take place inside the venue from visits to a supplier, agency, retailer or other business address. An on-site discussion does not require a new journey; an off-site appointment may require more time than its calendar slot suggests.
For a visiting executive, an organised corporate chauffeur itinerary can connect the summit with separate business meetings. Start with the appointments that cannot move, then work out whether the remaining stops are achievable. Leave a practical interval for walking out of the theatre, meeting the car and reaching the next reception desk.
When an hourly booking is useful
Consider hourly chauffeur service when the passenger needs a car available between several addresses. It is less compelling for someone staying inside the conference all day. Specify when availability begins, when it ends and whether an airport departure is included in the same assignment. Changes to the reserved period need confirmation.
Plan different journeys for speakers and exhibiting teams
A speaker’s useful arrival time may be earlier than the first public session because preparation or an organiser briefing can come first. Ask the organiser for that requirement rather than deriving it from the public programme. The transport brief should contain the reporting time and the person receiving the speaker at the venue.
The organiser’s GPeC Expo information confirms that the exhibition runs alongside the summit on 13 October. An exhibiting company should separate staff movements from deliveries. Share the size of any items travelling with passengers; bulky displays or freight need their own arrangements and should not be assumed to fit in a premium passenger vehicle.
When several staff members and guests have different duties, event transport coordination can organise the passenger journeys by role. A presenter, a stand manager and a client may share a destination but need different arrival and departure times. Keep those distinctions visible in the movement list.
Leave a clear handover for the return flight
On departure day, identify where the luggage will be and who can collect it. A final meeting at the theatre does not remove the need to retrieve bags from the hotel. Include that stop before calculating the pickup time against the airline’s recommended airport arrival.
If the passenger travels privately, use the private aviation chauffeur service and supply the actual airport, terminal and handling contact. Private flight timing and terminal instructions require their own handover; do not reuse commercial-flight pickup details simply because both journeys are in Bucharest.
An overseas agency arranging these journeys can work with Bud’s Cab as a local B2B transport partner. Send one approved itinerary and nominate the contact who can authorise amendments. Keep payment and invoicing arrangements clear before service begins, particularly when a speaker’s travel is paid for by a different organisation from the exhibiting team.
Arrange transport around your GPeC programme
Send your 13 October attendance plan, flights, hotel, off-site meetings, luggage and preferred vehicle class. Request a quote that identifies the journeys, reserved hours, waiting terms, VAT, any additional expenses and cancellation conditions.
Bud’s Cab is an independent chauffeur provider, not an official GPeC transport partner. Event details were checked on 23 September 2026. Check the organiser’s current information, including the separate November gala, before finalising travel.
